Notifications and warnings from the NetDose system

Are you receiving emails regarding the use and functionality of your dosimetry program? Need to know what to do next? This article provides valuable insights on how to interpret these messages and guides you on what steps to take next.

Overview

The NetDose Dosimetry Service sends various emails to users regarding any issues that may occur with the use of the system and its functionality. These emails are sent to Administrators, Supervisor, and Wearers depending on the nature of the issue. The emails will come from netdosenotifications@radetco.com. If you think you should receive notifications about events that are occurring but are not, please check your spam/funk folder to ensure the emails are not being flagged as spam. 

To receive notifications, provide an email in the user profile and check the notifications box. These options can be found under the contact information section.

Emails will be sent for system alerts and notifications. Administrators get all notifications and alerts related to the account, Supervisors receive emails for users and devices within their assigned department, and wearers only get emails about their account and device.  

It is important to note that alerts and notifications are not the same. Notifications will not appear in the Alerts menu or the Dashboard of the Web UI and do not require an acknowledgement. Notifications will provide information and warnings regarding the status of the system, while alerts will provide critical information about the performance of the dosimeter and dose threshold exceedances. Alerts

More detailed information regarding alerts can be found here. Alerts will appear on the NetDose Web UI Dashboard and Alerts menus.  If notifications are turned on, an email will also be sent to the appropriate users.  Alerts must be acknowledged in the Alerts menu of the Web UI. 

Low battery: The battery in the dosimeter is low.  Battery is less than or equal to 10%.

Critical Battery: The battery in the dosimeter is very low. Battery is less than or equal to 5%.

Malfunction: The dosimeter device is experiencing an issue that needs to be addressed.  It may no longer be collecting dose data. 

High dose: The set high dose threshold is exceeded.  For more information about setting high dose thresholds, click here.

Notifications

Approved/Rejected Dose Modification: A requested dose modification has been approved or rejected.  Information regarding the request is in the body of the email. For more information, please click here.

Bulk Device Assignment Success/Failure: Bulk assignment of devices has been a success or has failed. Common bulk assignment issues involve the eligibility of a user to be assigned a device.  Ensure all devices are functioning properly and are at an unassigned status.  Ensure users do not already have a badge assigned in a body location where the bulk assignment is being made.  Users can only wear one device of the same type at a body location at a time.  Unassign badges as necessary before reattempting bulk assignment.  For more information, please click here

Device Calibration Due: The dosimeters must be recalibrated periodically.  The email will provide the date the calibration is due.  Please contact service for additional information.

Dose Record Gap: There is missing data in the daily dose acquisition stream. This can occur when the device is not powered (dead or missing battery) or if the memory has been overwritten due to full memory.  The dosimeter can store over 500 daily doses so this can only occur if the device has not been read for over 500 days. Resolve by ensuring battery charge is present and dosimeter is functional by pressing the blue button for device status/battery check. It may be necessary to provide a dose estimate if the missing data is part of a user's active dose record. 

Form 5 Generation: When a Form 5 report is requested, it may take some time to generate the report.  When the report generation is complete, the requester will receive a Form 5 Generation email to let them know the report is complete.  The message will contain a link that will provide access to the report. The link will remain accessible for 30 days.  

High Temperature - Warns a badge needs to be cooled off and is no longer recording dose information    High temperature notifications are triggered if the temperature surrounding the Dosimeter exceeds 45°C (104°F).    Move the dosimeter to a cooler location.  Implement environmental/engineering controls to maintain operational dosimeter temperature during work periods.  

Multiple User Creation Failure/Success:  Information regarding the creation of users.  If the multiple user creation failed, the email will describe why the creation failed.  Usually this is due to a mis key in the user information spreadsheet, or the value for an option is not valid in the NetDose system.  Address the errors listed in the email and reattempt the process.  

NetDose Portal Access: NetDose portal access has been granted. This means they can log into the Web UI and the Mobile App. The message will contain the user's username required to login and a link to establish their password. The link will expire after 72 hours. 

NetDose User Access Cancelled: The user's login access has been cancelled.  The user may still have dosimeters assigned to them, but they can no longer log into the mobile app or the Web UI.

NetDose User Account Reactivation/Deactivation: The user has been set to "Inactive" or "Reactivated" status in NetDose.  If the user has been set to "inactive", their access to the NetDose system has been disabled, and all dosimeters will be unassigned at the next manual read of the dosimeter.  For more information regarding user's active or inactive status, please click here

Unread Dosimeter/Missed Reads: All devices are read manually via the mobile app.  The timing of these expected reads is configured in the NetDose Web UI. If the time of the manual read exceeds the expected time set by the read interval in the NetDose Web UI, you will receive an unread dosimeter notification.  You can reduce the number of unread dosimeter notifications by changing the manual synchronization procedure to ensure timely reading of the devices, or simply expand the time required for a read before the notification will be sent.  For example, if users typically read the device sporadically every week, the read frequency can be set to one month in the Web UI.  This means it will expect the device to be read at least once a month and will only send notifications if it has been over a month since the device was read.
